Talking to an AI assistant is a lot like talking to a new colleague — you need to explain things a bit more clearly than you might expect. Yet many folks type one short sentence and expect magic. Unsurprisingly, the result usually falls flat.
Why Your Prompts Get Weak Responses
The most common mistake is vagueness. "Write an email." To whom? About what? Formal or casual? Without context, the AI has to guess, and guesses rarely match what you actually need.
Another trap is piling too many instructions into one giant paragraph. You ask it to research, draft, translate, and format a table all at once. The assistant gets confused and misses key details. Breaking the task into steps works far better.
A Mindset That Helps
Think of the AI as a bright intern who does not yet know your team's habits. They need a briefing: what the task is, who it is for, what tone to use, and what constraints to respect.
A clear prompt looks like this: "Draft a friendly but professional meeting invitation for a community board, to be shared via WhatsApp, under 150 words." Notice the goal, format, tone, channel, and limit — all included.
Simple Tricks People Often Skip
First, assign a role. "You are a board secretary who writes monthly reports." This shapes the style and depth of the response more than you might think.
Second, give an example. If you want a specific table format, show one row. The AI becomes much more accurate when it has a concrete reference.
Third, ask it to pause and ask questions. "If anything is unclear, ask me before proceeding." This cuts down on wild guesses.
When the Output Still Needs Tweaks
Do not scrap everything and start over. Give specific corrections: "Make paragraph two shorter — three lines max." Or: "Switch to a more relaxed tone, like chatting at a coffee shop."
The AI is a tool. It produces good work when it receives good directions. Learning to write clear prompts saves real time and mental energy.
